This Privacy Policy governs your use of the Agora Mental Health Network website, www.agoramhn.com (the “Site”), including all content, features, and services offered through the Site. It is provided by Agora Mental Health Network, LLC (referred to as “Agora MHN,” “we,” “us,” or “our”).
We take your privacy seriously — especially given the sensitive nature of mental health information. This Policy explains:
- What personal information we collect and how we collect it
- How we use, retain, and protect that information
- When and how we share your information with third parties
- Your rights regarding your personal information
- How to contact us with questions or requests
By using or accessing the Site, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Site.
2. Types of Information We Collect
2.1 Personally Identifiable Information (PII)
“Personally Identifiable Information” or “PII” means information that can be used to identify you as a specific individual. This includes your name, mailing address, email address, phone number, and may include IP address or geolocation data if it can be used to identify you specifically.
2.2 Sensitive Personal Information — Mental Health Data
Because Agora MHN operates in the mental health space, we recognize that some information you share with us may be especially sensitive. This includes information about your mental health history, mood, emotional state, or the type of mental health assistance you are seeking (“Sensitive Personal Information”).
We treat all Sensitive Personal Information with heightened care. We do not use Sensitive Personal Information for marketing, advertising, or profiling purposes, and we do not sell, rent, or otherwise disclose it to third parties except as required to provide you with our core services or as required by law.
Where our Site allows you to enter preferences or needs to match you with a provider, we make every reasonable effort to keep this information separate from your PII unless you have specifically requested we link them (e.g., by saving your profile). However, please be aware that if you are logged into an account when providing this information, technical linkage may occur.
2.3 Demographic Information
Demographic information includes statistical characteristics such as ZIP code, age, gender, income level, and education level. This information helps us understand our user base but, on its own, cannot be used to identify you individually.
2.4 Billing and Insurance Information
Our Site does not ask for, collect, or store credit card numbers, bank account information, or insurance details. Please do not submit this type of information through the Site.
2.5 Non-Personally Identifiable Information (NPII)
NPII includes all information we collect that does not identify you personally. This includes demographic information, IP addresses (when not linked to an individual), browser type, domain information, referring website addresses, and site access times.
3. How We Collect and Use Non-Personally Identifiable Information
3.1 Automatically Collected NPII
Like most websites, our Site automatically collects NPII when you visit. We use this information to maintain site quality, understand traffic patterns, provide technical support, administer the Site, and improve our users’ experience.
3.2 NPII You Provide
Some features allow you to enter information to use our services — such as location-based searches or questionnaires to match you with a practitioner. This may include demographic information and Sensitive Personal Information. You may provide this information without creating an account. If you do create an account, you may elect to save certain preferences for convenience.
3.3 Cookies and Similar Technologies
We use “cookies” and similar technologies to operate our Site. Cookies are small data files stored on your device. We use:
- Session cookies, which are deleted when you close your browser and are used to keep you logged in during a visit.
- Persistent cookies, which remain on your device and allow the Site to recognize you on return visits and remember your preferences.
Most browsers accept cookies automatically. You can adjust your browser settings to block or alert you to cookies. Blocking cookies may limit some Site functionality. We do not use cookies to serve behavioral advertising without your consent.

3.5 Website Analytics
We may use third-party analytics services (such as Google Analytics) to help us understand how the Site is used. To the best of our knowledge, they do not track your browsing behavior across unrelated websites. We encourage you to review the privacy policies of any analytics providers we use.
4. How We Collect and Use Personally Identifiable Information
4.1 Account Registration
You can browse the Site without registering. If you wish to save searches, set up a profile, or communicate directly with providers, you will need to create an account. Account registration requires your name, email address, and other information you voluntarily provide.
4.2 Contact Us Features
When you send us a message via a “Contact Us” form or link, we receive your email address and any other information you choose to include.
4.3 Provider Messaging
If you have an account, you can send private messages to mental health providers through the Site. These messages — including your name, email, and message content — are transmitted through our servers. A delivery record is maintained, but we do not read or use the content of messages for any purpose other than delivering them to the intended provider.
4.4 Public Interactive Features
The Site may include blog pages or comment sections. If you post a comment, it will be visible to us and to any member of the public who visits the Site and may appear in search engine results. Please do not share sensitive personal information in public areas of the Site.
4.5 How We Use PII
We use PII to provide services through the Site, respond to inquiries, and communicate with you about your account. You control whether to provide us with PII; not providing it may limit what services you can access.
5. How We May Share Your Information
We do not sell or rent your PII or Sensitive Personal Information. We may share your information in the following limited circumstances:
- Service Providers: We may share your information with trusted third-party companies that help us operate the Site. These providers receive only what they need to perform their services and are contractually required to protect your privacy.
- With Your Consent: We will share PII with third parties when you have expressly opted in.
- Legal Requirements: We will disclose information when required by law, to enforce our Terms of Use, to prevent fraud or security issues, or to protect the rights and safety of Agora MHN, our employees, users, or others.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred. We will notify you if it becomes subject to a materially different privacy policy.
- Provider Communications: When you contact a provider through our messaging features, your name, email address, and message content are shared with that provider to facilitate your request.
6. Your Privacy Rights
6.1 Rights Available to All Users
Regardless of where you live, you may:
- Access or correct the PII we hold about you by emailing info@agoramhn.com.
- Opt out of receiving marketing communications (see Section 13).
- Request deletion of your account and associated PII by contacting us at info@agoramhn.com. Some information may be retained for legal or security purposes.
6.2 California Residents — CCPA/CPRA Rights
If you are a California resident, you have the following additional rights:
- Right to Know what personal information we have collected about you and why.
- Right to Delete your personal information, subject to certain legal exceptions.
- Right to Correct inaccurate personal information we hold about you.
- Right to Opt Out of the sale or sharing of your personal information.
- Right to Limit the use of your Sensitive Personal Information to what is necessary to provide our services.
- Right to Non-Discrimination for exercising any of these rights.
To submit a request, email info@agoramhn.com with the subject line “California Privacy Request.” We will respond within 45 days.
6.3 Users Outside the United States
If you are located in the EU, EEA, or UK, additional rights may apply under the GDPR, including the right to access, rectify, erase, restrict, or object to processing of your data. Because our servers are in the United States, data you submit will be transferred and processed here. By using our Site, you consent to this transfer. 7. Do Not Track and Global Privacy Control
Some browsers offer a “Do Not Track” (DNT) setting. Because no universal standard for responding to DNT signals has been established, our Site does not currently alter its data practices in response to them.
California law requires us to disclose whether we honor the Global Privacy Control (GPC) signal. We are monitoring legal requirements around GPC and will update this Policy as our practices develop. If you wish to exercise your data-sharing opt-out rights as a California resident in the meantime, please contact us at info@agoramhn.com.
8. Third-Party Services and Links
Some Site features may be supported by third parties such as analytics providers or content platforms. These third parties may independently collect information about you when you use those features. We cannot control how they collect or use your information and encourage you to review their privacy policies directly.
Our Site may contain links to external websites. We are not responsible for the privacy practices of those sites.
9. HIPAA Compliance and Health Information
9.1 Agora MHN Is Not a HIPAA Covered Entity
Agora Mental Health Network, LLC is a directory and referral platform — not a healthcare provider, health plan, or healthcare clearinghouse. As such, Agora MHN is not a “Covered Entity” under the Health Insurance Portability and Accountability Act (HIPAA), and the personal information you provide to us through the Site is governed by this Privacy Policy, not by HIPAA.
The mental health providers listed on our Site may themselves be Covered Entities under HIPAA. Once you establish a therapeutic or clinical relationship directly with a provider, that provider’s own HIPAA Notice of Privacy Practices will govern how they handle your Protected Health Information (PHI). We encourage you to request and review that Notice from your provider.
9.2 Our Messaging Feature Is Not HIPAA-Compliant
The contact form and email messaging feature on our Site is designed to help you make initial contact with a provider. It is not a HIPAA-compliant communication channel, and you should treat it accordingly.
Like other therapist-finder platforms, Agora MHN enables initial contact but does not guarantee end-to-end HIPAA-compliant transmission of messages. Once you are connected with a provider, we encourage you to use their secure, HIPAA-compliant communication channels for any sensitive clinical information.
9.3 How We Handle Your Messages
When you send a message to a provider through our Site, the following applies:
- The message is delivered to the provider you selected.
- Agora MHN does not read the content of your messages. We access message logs only for technical troubleshooting or when required by law.
- A read-only copy of your sent message is placed in your password-protected user folder on our Site for your own future reference.
- The contact form includes the reminder: “Remember to delete it when you no longer need a record of it.” We encourage you to follow this guidance.
Your password-protected folder is accessible only to you. Agora MHN staff do not have routine access to the contents of your personal folder.
10. Children’s Privacy
Our Site is intended exclusively for adults aged 18 and older who are seeking mental health care services or providers. We do not knowingly collect personal information from anyone under the age of 18. If you are under 18, please do not use this Site or provide us with any personal information.
If we learn that we have inadvertently collected personal information from a person under 18, we will delete that information promptly. If you believe we may have collected information from someone under 18, please contact us at info@agoramhn.com.
11. How We Protect Your Information
We implement a variety of industry-standard security measures designed to protect your personal information from unauthorized access, use, alteration, or disclosure. These measures include secure server infrastructure, encryption of data in transit, and access controls.
No method of transmitting or storing data over the Internet is completely secure. We cannot guarantee the absolute security of any information you transmit to us, particularly via unencrypted email. If you believe your interaction with us is no longer secure, please notify us immediately at info@agoramhn.com.
12. Data Retention
We retain your personal information for as long as your account remains active or as needed to provide you with services. We may retain certain information longer when required by law, for fraud prevention, to resolve disputes, or to enforce our agreements.
When you request deletion of your account or personal information, we will delete or anonymize it within a reasonable period, subject to these obligations. Some anonymized or aggregated data may be retained indefinitely for analytical purposes, as it can no longer identify you.
13. Communication Preferences
You can opt out of receiving marketing communications from us at any time by:
- Clicking the “unsubscribe” link in any marketing email we send you, or
- Emailing us at info@agoramhn.com with your name and a request to unsubscribe.
Please note that even if you opt out of marketing emails, we may still contact you for transactional or service-related purposes, such as account notifications or legally required communications.

14. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will update the “Last Updated” date at the top of this Policy and, where appropriate, notify you by email or by posting a prominent notice on the Site.
Your continued use of the Site following the posting of changes constitutes your acceptance of the updated Policy. If you do not agree to the updated Policy, please discontinue use of the Site.
